Pre-Award

Everything a Principal Investigator needs to prepare, budget, and submit a research proposal through ORSPA — and what to expect once an award is in hand.

About Pre-Award Services

The Office of Research and Sponsored Projects Administration (ORSPA) provides guidance and support to help faculty and team members develop and submit quality grant proposals to Federal and State agencies, NGOs, institutions, foundations, and other public sponsors. Every proposal for sponsored funding submitted on behalf of IVAN Research Institute is reviewed by ORSPA before it reaches a sponsor, regardless of size or funder.

IVAN Research Institute seeks external funding to support research and scholarship, develop curriculum, advance team learning, improve team recruitment and retention, increase professional development opportunities, advance knowledge, and integrate research and capacity building to enhance proficiency.

The process is designed to be guiding and intuitive for faculty and team members alike, so that preparing and submitting a grant proposal feels encouraged and supported.

What We Help With

Pre-Award support covers the full arc of getting a proposal out the door: shaping a fundable concept, planning the submission with you, developing a budget and budget justification that comply with the funder's guidelines and IVAN Research Institute policies, checking compliance requirements, coordinating internal approvals, and submitting the application.

When you are responding to an announcement or request for proposal (RFP), email the Pre-Award team at preaward@ivaninstitute.org — or orspa@ivaninstitute.org for inter-institutional communication — to say you intend to apply and to arrange a time to discuss the announcement with IVAN Leadership as soon as possible.

Once the process is initiated, the ORSPA Pre-Award Team takes over and proceeds with the proposal submission preparation process.

Roles and Responsibilities

The Principal Investigator (PI), other investigators, and anyone else staffing the grant are responsible for writing the proposal narrative and science. IVAN Research Institute aids the faculty and team in preparing the proposal, while the Pre-Award team prepares the necessary supporting and administrative grant documents and handles the complete compilation and submission of the application.

The ORSPA Pre-Award team is responsible for:

  • Initiating and reviewing proposals for sponsored projects, negotiating and accepting awards, and preparing, negotiating, and issuing sub-award agreements.
  • Providing administrative support to all researchers, from proposal development through award negotiation and acceptance, for contracts, grants, and fellowships from government, non-profit, and industry sponsors.

Institutional Information for Your Application

Most funding applications ask for standard institutional details — IVAN Research Institute's legal name, registration information, address, and banking details for award disbursement. ORSPA keeps this information current and will provide it for your application on request, so you never need to guess at it.
